AI Applicant Assistant
The AI Applicant Assistant is an AI-powered chat assistant available in the Applicant Portal. It helps applicants track their application progress, complete required tasks, and find answers to recruitment-related questions using Recruitment Knowledge configured by your organization.
- Navigate to System Settings > AI Settings.
- Enable the AI Applicant Assistant toggle.
- Save your changes.
Note:
- If HR Cloud AI is disabled, the AI Applicant Assistant setting cannot be edited. Please connect with your Account Manager for more information.
- Only HR Admins can configure the AI Applicant Assistant.
How the AI Applicant Assistant Works
The AI Applicant Assistant is available in the Applicant Portal and helps applicants throughout the hiring process.
Applicants can:
- View their current application status.
- Review recent application updates.
- See pending tasks and required actions.
- Learn about the next steps in the hiring process.
- Ask recruitment-related questions using natural language.
When applicants open the assistant for the first time, they can select one of the available quick actions:
- What is my application status?
- Show my tasks
- What should I do next?
These options are displayed only before the first interaction. Afterward, applicants can continue chatting naturally.
If an applicant has multiple applications, the assistant keeps each application separate and asks for clarification when necessary.
Additional Notes:
- Applicant conversations are retained for up to 30 days before being automatically removed.
- The AI Applicant Assistant only accesses information related to the applicant's own recruitment process.
How to Create Recruitment Knowledge
Recruitment Knowledge allows administrators to upload recruitment-related documents that the AI Applicant Assistant can use when answering applicant questions.
Recruitment Knowledge is separate from Internal Knowledge and is only available to applicants based on the configured assignment rules.
Create a Knowledge Space
- Navigate to System Settings > AI Settings > Knowledge Spaces
- Click +.
- Enter a Knowledge Space Name.
- (Optional) Enter a description.
- Upload one or more supported documents.
- Configure assignment rules.
- Click Save.
