How to create a Performance Cycle?

This guide explains the step-by-step process to create a Performance Cycle in the Perform app. Performance Cycles allow you to manage employee evaluations, track goals, and collect feedback efficiently.

1. Accessing Performance Cycles

Open the Perform app from the sidebar and navigate to the Cycles tab. Click the plus (+) sign located on the upper left side of the page to start creating a new cycle.

2. Adding General Information
  • Enter a Title for your cycle.
  • Optionally, add a Description to provide context or instructions.
  • Set the review period by defining the start and end dates for evaluations.


3. Customizing the Cycle
  • Add company branding with a Header or upload your own image and text for a personal touch.
  • Decide if the cycle should be triggered on a common date ( same for everyone) or based on the anniversary date of every employee in question.
  • The evaluation date must be set after the current date./ review period
4. Setting up Cycle Schedule
  • When configuring the Cycle Schedule, you can choose between two scheduling options: Common Date or Anniversary Date. The selected option determines how and when the performance cycle is assigned.
  • The Common Date option refers to fixed calendar dates. With this setup, you define a specific start date and end date for the cycle. You also need to select the frequency, meaning whether the cycle will be assigned only once or set up as a recurring review. Please note that the end date must always be set in the future. 
  • The Anniversary Date option is based on each employee’s start date. In this case, cycles are automatically triggered according to the employee’s work anniversary. When using this option, you need to define the evaluation timing, such as how many months or years after the start date the performance review should be assigned. You must also select the frequency of the cycle.
  • Choosing the appropriate schedule type ensures that performance reviews are aligned either with a fixed organizational timeline or with each employee’s individual employment milestones.
5. Assigning Participants
  • Choose whether the review is for Employees, Managers, or both by turning on the toggles under the Review Options.
  • Optionally, include Peer Reviews and Direct Report Reviews for 360 feedback
  • Set notification preferences individually for each assignee. This can benefit you if you want to receive task completed emails.
6. Configuring Settings

  • Define the overall rating scale, which can be customized and used consistently across reviews.When the overall rating option is enabled, you can also configure the Weighted Overall Score. This feature allows the final overall score to be calculated based on weighted input from different reviewers. You can define how much weight each review type—such as Self Review, Manager Review, or Peer Review—contributes to the final overall score.
  • Set visibility permissions to control who can see the results.
  • Enable goal tracking to monitor progress during the cycle.
  • Configure Companywide Peer Selection and determine if peers can update their feedback.
  • Overall results feed into matrix reports for performance analysis.


7. Adding Questions

  • In the Questions tab, use the Elements selector on the left side of the page to add different types of questions, including written answer, single-choice, and multiple-choice.

  • After adding a question, you can configure the question title and define the available options if the question type is single-choice or multiple-choice.

  • If your cycle includes multiple review types, such as Self Review, Manager Review, or Peer Review, you can configure questions separately for each review type. To do this, switch between the corresponding tabs located at the top of the page.

 

8. Assigning Employees

  • You can include all employees in the cycle or create a custom assignment.
  • For custom assignments, choose from predefined parameters to select which employees are included.
  • Parameters can be customized by your account manager for flexibility.

 

9. Reviewing Summary

  • The Summary tab displays all reviews, general information, and the cycle schedule.
  • If changes are needed, you must edit the cycle before activation, since it’s not possible to edit an active cycle.


10. Activating or Saving the Cycle
  • You do not need to activate the cycle immediately.
  • Saving as a draft allows you to prepare the cycle in advance.

Once activated, the cycle will trigger automatically, including all task notifications.
