How to Create and Track Projects in Time Clock?

Projects allow employees to track time spent on specific work or initiatives within Time Clock. Admins can create projects and assign them to employees so they appear when employees log their time.  If the Projects tab is not visible in Time Clock, please contact your HR Cloud account manager.

Create a Project (Admins)

  1. Go to Time Clock.
  2. Select the Projects tab.
  3. Click Add Project.
  4. Enter the project details and later click Save.
    • Project Name (required)
    • Description (optional)
    • Assigned Users (all employees or specific employees)
    • Status – Active or Inactive

The project will appear in the Projects list and will be available for the assigned employees when they log time.

To update a project, click on the Pencil icon next to the name of the Project, make your changes, and click Save.

 

Log Time to a Project (Employees)

Employees can associate a project with their time entries in Time Clock.

Manual Time Entry

  1. Go to Time Clock.
  2. Enter your Start Time and End Time.
  3. Select a Project from the project dropdown.
  4. Save the entry.

Selecting a project is optional.

Automatic Time Tracking

  1. Go to Time Clock.
  2. Select a Project from the dropdown.
  3. Click Start Project to begin tracking time.
  4. Click Stop Project when finished.

The system automatically saves the start time, end time, and duration.

 

Alternatively, you can access this by clicking the Time Clock button in the top right corner of the app:

 

View Project Hours

To see the time you spent on projects during a pay period:

  1. Go to My Time Sheet.
  2. Click View Project Hours.

A panel will display:

  • Total hours across all projects
  • A list of projects worked on in that pay period
  • Total hours logged per project

 

Notes

  • Employees only see projects assigned to them when logging time.
  • Project selection is optional when creating time entries.
  • Only one project can be tracked at a time during automatic tracking.
  • If a project becomes inactive, it cannot be selected for new time entries but will remain visible in past records.

Project time automatically updates Time Clock dashboards and project reports.
