How to Create Shifts Using an Existing Work Schedule

Use the Use Work Schedule option to create shifts for selected employees over a date range using an existing Work Schedule

 Before You Begin

  • You must have permission to create shifts.
  • Only active Work Schedules with fixed working hours can be used. Hours-only schedules are not available for shift creation.

How to Create Shifts Using a Work Schedule

  1. Navigate to the Schedule or Shifts tab
  2. Click Add Shift and select Use Work Schedule.
  3. In the Work Schedule field, click Choose.
  4. Select an active Work Schedule and click Done.
    • To view its working days and hours before selecting it, click the Work Schedule row.
  5. In the Name field, review or edit the default name.
  6. Under Assign To, choose:
    • Specific Employee – Search for and select one or more employees. Click × on an employee chip to remove them.
    • Custom – Use the custom assignment option.
  7. Enter the Start Date and End Date.
  8. Optionally, enter a Note.
  9. Click Publish.

 Publishing Shifts

  • If the total number of shifts exceeds 500, publishing is blocked. Select fewer employees or shorten the date range.
  • If existing shifts will be replaced, a confirmation message displays the number of shifts affected. Click Replace and Publish to proceed or Take Me Back to cancel.
  • If there are no existing shifts to replace, publishing proceeds directly.
  • If only one shift per day is enabled, a shift cannot be generated for an employee on a date when they already have a shift. To enable this, please connect with your Account Manager.
  • Approved Time Off and Unavailability are never overwritten. A shift may still be created on those dates, and the conflict can be viewed using the calendar's Conflict button.

Note: Publishing creates dated shifts in the calendar. It does not change employees’ permanent Work Schedule assignments.
