How to customize Recruit email templates and send those emails to applicants?

This article explains the steps to create custom email templates for the Recruit app.

The Recruit app allows the customization of the emails exchanged between the organization and the applicant at different stages of the hiring process. An admin can easily add a new email template or edit an existing template. 

To add a new template: 

  1. Go to System Settings and select Recruit under App Settings.
  2. Go to Email Templates. This page lists existing email templates that can easily be updated or removed completely.
  3. To add a new email template, click the Add Email Template button in the top right corner of the page.
  4. Enter a suitable name for the template, the subject of the email, and the message.
    The Recruit app provides some tokens that can be used in emails to personalize the content. When an email is sent, tokens in the template are automatically replaced with the actual values.
    Some of the examples of the tokens available are the Applicant's First Name, Company Name, Job Location, Position Title, etc.
  5. Attach files to the template, if needed.
  6. Click Save.

To see the emails already sent out to an applicant, go to the Applicant and click the Emails tab.

To send a new mail, click the New Email button. You can choose any of the existing templates for the email or create a new email directly there.

When using templates, the placeholder tokens will be automatically replaced with the actual value of the token while sending. See the preview of the email and click the Send button to send the email to the applicant.
