How to Manage Shifts in Shift Planner
The Shifts tab in Shift Planner provides a centralized location for viewing and managing employee shifts. Administrators and authorized users can review scheduled shifts, create new shifts, and update existing assignments
How to View Employee Shifts
- Open Shift Planner.
- Navigate to the Shifts tab.
- Review the list of scheduled shifts.
- Use the date range filter to display shifts for a specific period.
- Select a shift to review its details.
Alternatively, you can view them within the Schedule tab by clicking individual shifts within the calendar.
If there are more scheduled shifts on a specific day, you can click on ‘’More’’ to the full list of shifts.
You can see both options below:
Add a New Shift
- Navigate to the Shifts tab.
- Select the option to add a new shift. Here you can choose between using a Work Schedule or creating a shift from scratch.
- Enter the required shift information.
- Name
- Date
- Start and End Time
- Open Shift Toggle - this will enable employees to claim the shift if they want to.
If this option is toggled, you will be able to configure which employees will be able to see the open shift in a new step that will appear, how many slots are available, and if approval is needed.
You can handpick specific employees, or add Custom filters such as Departments, Locations, Employment Type, etc.
- Notes
- Repeat toggle - here you can select how often the schedule will repeat, which days will be added, and when the repetition will end.
You can do this within the Schedule grid as well, by clicking on an available shift slot (this way you can only add shifts created from scratch) or by clicking on the Add new shift button in the upper right corner:
Edit an Existing Shift
- Open the Schedule or Shifts tab.
- Locate the shift you want to modify.
- Open the shift’s editing options.
- Make the necessary changes.
- Save the updated shift. The changes can be saved for that specific shift only, all future shifts, or the entire shift chain.
Important Notes
- Available actions depend on user permissions.
- Changes to individual shifts may affect employee schedules and attendance tracking.
- Shifts generated from Work Schedules and manually created shifts can be managed from the centralized Shifts view.
