How to Manage Work Schedule Assignments
Work Schedules determine employees’ working days and hours and are used for Shift Planner, Time Clock, Timesheet, and Time Off calculations. Admins can update Work Schedule assignments, resolve assignment conflicts, or deactivate and delete schedules that are no longer needed. Changes affect future scheduling while preserving past and in-progress shifts
Edit Work Schedule Assignments
- Go to System Settings > Time Management > Shift Planner > Work Schedules
- In Exceptions, open the Work Schedule you want to modify.
- Update its assignment rules.
- Review the impact displayed below the assignment rules:
- Assigned: Employees who will be assigned to the Work Schedule.
- Conflict: Employees who match more than one Work Schedule.
- Removed: Employees who will be moved to the Default Working Days/Hours schedule.
- Select a count to view the employees included in that group.
- Resolve any assignment conflicts before saving. You cannot save while conflicts remain.
- Select Save.
Deactivate a Work Schedule
Deactivate a Work Schedule when it is no longer needed but still has assigned employees.
- Open the Work Schedule you want to deactivate.
- Select Deactivate.
- Review the confirmation message. It explains that the assigned employees will be moved to the Default Working Days/Hours schedule.
- Select Deactivate to confirm, or Take me back to cancel.
After deactivation:
- The Work Schedule status changes to Inactive and it can no longer be assigned.
- Assigned employees move to the Default Working Days/Hours schedule from their effective dates.
- Future shifts generated by the deactivated schedule are removed.
- The schedule has no assigned employees, so it can now be deleted.
An inactive Work Schedule can be reactivated. However, employees who were moved to the default schedule are not automatically reassigned.
Delete a Work Schedule
You can delete a Work Schedule only when it has no assigned employees.
- Open the Work Schedule you want to delete.
- Select Delete.
- Confirm the deletion if prompted.
If employees are still assigned, Delete is disabled. Hover over the option to see the message: “This schedule has assigned employees. Deactivate it first, then delete.”
Deactivate the schedule first to move its employees to the Default Working Days/Hours schedule. You can then delete it.
The Default Working Days/Hours schedule can never be deactivated or deleted.
Important Notes
- Past and in-progress shifts are not changed or deleted when assignments are updated or a Work Schedule is deactivated or deleted.
- Custom shifts created manually in the Calendar are not affected by Work Schedule assignment changes.
- Default shifts generated by a Work Schedule cannot be edited directly in the Calendar. To change their hours, edit the Work Schedule. To use different hours on a specific date, create a custom shift.
- Approved or locked Timesheet periods remain unchanged. Future calculations use the employee’s Default Working Days/Hours schedule after they are moved off another schedule.
- Approved Time Off requests remain active. Future expected-hours-based Time Off deductions follow the default schedule after the change.
- Employees with unresolved Work Schedule conflicts have no schedule until the conflict is resolved.
