How to set up sending Reports via Email?

The Reports feature has been enhanced by the ability to send Reports via Email, as well as additional settings such as Reports email scheduling, sending frequency, or email template customization.

*In order to start utilizing this feature, you will have to reach out to your Account Manager, who will enable this feature upon your request.

To set up sending reports via email, follow the steps below:

1.  Select Reports from the Dashboard. 

2.  Click the Reports tab on the top of the grid.

3.  Choose from the existing reports and select the icon under Actions.

4. The report of choice will be sent as an attachment after selecting the specifics offered:

  •      Specific roles (HR Admin, HR User, HR Operation, IT User, IT operation, Manager, Employee)
  •      Specific employees (choose from the list of existing users)
  •      Someone outside the organization (toggle and enter a specific email address or multiple email addresses at once. 
  •      Select a Report Format (Excel or CSV)

  •     Schedule Email (configure the time, date, and frequency for your email). 
        Email frequency can be set to either Only Once or Recurring.  If Recurring frequency is chosen,  you can select a start date, how often it should be repeated,  as well as the end of the recurrence.



  • The Email Template option is available in the upper right corner below the Report Name. Once selected, a customization flyout will open up.  Once completed, you will have a preview of the email before sending it.
  • Once the report is scheduled or sent, you can keep track of the status and recent updates under the Email Tracking tab (Email Log or Scheduled Emails), as shown in the screenshot below.
     

Several report types do not conform to this feature, and those are as follows: 

  • Onboard > “Overview“

  • Employees > “Electronic Payroll Integration Program Report”, “Headcount“, “Turnover“ and “Demographics“

  • Perform reports

  • Recruit > Applicant Pipeline Report and Applicant Source Report
