How to update already assigned shifts?

Admins and managers can edit shifts directly from the Schedule calendar in Shift Planner. When a shift is updated, employees can be notified about the changes via email and in-app notifications.

How to Edit a Shift:

  1. Go to Shift Planner and open the Schedule tab.
  2. In the Calendar view, click the shift you want to update.
  3. The Shift Details panel opens.
  4. Click Edit.
  5. Update the shift information (such as shift name, date, time, or notes).
  6. Click Save & Notify to save the changes and notify the assigned employee.

Employees will receive:

  • An email notification
  • An in-app notification

Both notifications include a link to view the updated shift in the schedule.

Editing Repeating Shifts

If the shift is part of a repeating schedule, you will be asked how the changes should be applied:

  • Save for this shift – only the selected shift is updated.

  • Save for this and future shifts – the selected shift and all future shifts in the series are updated.

Save for all shifts in the series – all shifts in the repeating cycle are updated.

 

Notes

  • Shifts can also be edited from the ellipsis (⋯) menu on the shift.
  • Editing a shift assigned to multiple employees affects only the selected shift for that employee.
  • The Assign To field and Open Shift toggle cannot be edited after the shift is created.
  • Notifications are sent only to active users and follow the company’s Do Not Disturb settings.
  • Only users with Update permissions can edit shifts.
