How to customize an Offer Letter?

This article explains how to customize the offer letter to be sent to an applicant.

The Recruit app allows HR admins to create offer letter templates to be sent to applicants whenever required. Multiple offer letter templates can be created to be used for different job profiles, departments, etc.  

To create a new offer letter template,

  1. Go to System Settings. Under Recruit choose Templates. This will list all the existing offer letter templates in a grid.
  2. Click Add Offer Template button on the top right corner of the grid.
  3. Add the offer letter and the offer letter email to be sent to the applicant along with the offer letter. Also define offer details such as Offer Expiration Date, Compensation, Pay Rate etc.
  4. Use placeholders and tokens in the content to get dynamic values to be filled up when the offer letter is sent.
  5. See the preview and click Save after making all the changes.

You can create numerous offer letter templates that are suitable for all possible scenarios in which you will be hiring - different employment types, different positions, etc.

It is advised to name the offer letter template correctly so you know to select the correct one when actually sending it out to the applicant you wish to hire.

 

 

Please note that the permissions to send and revoke the offer letter are set in System Settings > Access and Permissions.
There you can choose which user roles will be allowed to send the offer letter.
