How to send a video interview?
HR Cloud Recruit allows hiring teams to use video interviews as part of the applicant screening process. Video interviews give applicants the opportunity to record their answers to predefined questions, allowing recruiters and hiring managers to review responses at their convenience. This article explains how applicants complete a video interview and how recruiters can review, rate, and send video interviews from HR Cloud.
Sending a Video Interview
You can send a video interview directly from an applicant's profile.
To send an interview:
- Navigate to the applicant's profile.
- Open the Video Interview tab.
- If the applicant does not currently have a video interview, click Send Video Interview.
- Configure the interview before sending it.
Questions
In the Questions section, add the questions you want the applicant to answer.
For each question, you can configure interview settings such as:
- Preparation time
- Answer/recording duration
- Number of allowed retries
You can add additional questions as needed.
Customize & Send
Open the Customize & Send section to configure the invitation sent to the applicant.
Here you can review or update:
- Due Date – Specify when the applicant should complete the interview.
- Invitation Email – Review and customize the email the applicant will receive.
- Email Subject – Update the subject of the invitation.
- Message – Customize the email content and instructions.
You can also use the available email templates to quickly populate the invitation.
Once everything is ready, click Send Invitation.
The applicant will receive the invitation and can complete the video interview through the Applicant Portal.
Managing Video Interviews
After an interview has been sent, its status can be monitored from the applicant's Video Interview tab.
If no interview has been created or sent yet, the page displays the Send Video Interview option. Once the applicant completes the interview, their recorded responses become available for the hiring team to review and rate.
Applicant Experience
When a video interview is assigned, applicant receives an email and can access the interview through the Applicant Portal.
The Video Interview page provides instructions explaining how the interview works before the applicant begins.
To start the interview:
- Review the instructions displayed on the screen.
- Click Start.
- The first interview question will appear.
- Click Start Recording Now when you are ready to answer.
- A preparation countdown will appear, giving you time to prepare your response.
- Record your answer within the allowed recording time.
- When finished, submit your recording.
Depending on the interview configuration, applicants may also have the option to re-record their answer before submitting it.
Once all questions have been completed and submitted, a confirmation message will appear indicating that the video interview has been successfully completed.
Reviewing a Video Interview
Recruiters and hiring managers can review completed video interviews directly from the applicant's profile.
Navigate to:
Recruit > Applicants > Applicant Profile > Video Interview
The Video Interview tab displays the applicant's submitted interview.
From here, you can:
- Play and review the applicant's recorded responses.
- Navigate through the interview questions.
- Review the applicant's answers.
- Rate the applicant's video interview.
Rating a Video Interview
To rate an applicant's completed video interview:
- Open the applicant's Video Interview tab.
- Click Rate Interview.
- Select the appropriate star rating.
- Enter additional comments or feedback, if needed.
- Click Save.
The rating and feedback can then be used by the hiring team when evaluating the applicant.
