Smartflow Modules

Smartflow Modules allow you to automate employee communications across multiple channels and assign tasks to employees. Below you’ll find short descriptions of the different types of modules available.

Email Module

The Email module allows you to create, schedule, and send emails to employees or groups as part of a SmartFlow. It’s ideal for onboarding messages, reminders, or notifications that require rich formatting. When creating an Email module, you can either select a pre-made template from the Email Template dropdown menu or create your own custom email. 

When creating an Email Module, make sure to: 

1. Add recipients. 

2. Add subject and the body of the email. Tokens can be used for both.

3. Click Save. 

Additionally, you can use one of the pre-made templates from the Email Template dropdown menu, if needed. 

 

SMS Module

The SMS Module allows you to send text messages to employees, making it ideal for time sensitive notifications, reminders, alerts, or short onboarding messages.

When adding an SMS Module, make sure to: 

1. Add recipients. 

2. Add the subject of the SMS. 

3. Click Save. 

Additionally, you can use one of the pre-made templates from the SMS Template dropdown menu, if needed.

 

Please note that the SMS Module is available only if you have Twilio integration enabled.

 

Chat Module

The Chat module delivers in-app messages to employees via HR Cloud Chat and is ideal for informal updates, quick reminders, or engagement messages.

When adding a Chat Module, make sure to: 

1. Add Recipients. 

2. Add content to the message. 

3. Click Save. 

Additionally, you can use one of the pre-made templates from the SMS Template dropdown menu, if needed. 

Please note that Chat Module is available only if Chat functionality is enabled. 

 

Meeting Module

The Meeting module allows you to schedule meetings with employees or groups. It allows you to set all required details such as meeting title, start and end times, time zone, and location. Meetings appear in the Calendar, and can include email notifications to attendees. This module also tracks attendee responses (“Going,” “Not Going,” or “Awaiting”). 

When creating a Meeting Module, make sure to:

  1. Select the attendees.

  2. Add the meeting title.

  3. Set the start and end time of the meeting.

  4. Set the location, or select “Meet with Zoom” or “Meet with Teams” if one of the integrations is enabled.

  5. Add a description.

  6. If needed, set up the notification email. You can create your own or use one of the pre-made templates. 

 

Task Module

When adding a Task module, you can choose from multiple task types.

For each task type, you can set a Reference Date that determines when the task will be triggered.

For example, if a Smartflow has a trigger "When Employee is Hired," the workflow will be triggered when an employee is added to the system.

However, if a task in that Smartflow is set to trigger 2 days after the Reference Date, and the employee’s Start Date is in the future, the task will be assigned 2 days after the Start Date, not 2 days after Smartflow was triggered.
